Privacy notice
Paignton Swimming Club respects your privacy and is committed to handling personal information fairly, lawfully and securely. This notice explains how the club may use personal information about swimmers, parents and guardians, volunteers, officials, coaches, prospective members and website visitors.
Paignton Swimming Club is the data controller for personal information it collects for club purposes. Questions or requests can be sent tosecretary@paigntonswimmingclub.org.uk.
Information we may handle
- Names, dates of birth and contact details for enquiries, assessments and waiting lists.
- Membership, squad, attendance, training, qualification and competition information.
- Emergency contacts and relevant health, disability, accessibility or support information.
- Fees, invoices and limited payment-administration information.
- Competition entries, times, results, awards and historical sporting records.
- Photographs, video or club stories where the club has an appropriate basis to use them.
- Messages and records created when you contact the club or raise a concern.
The public website does not provide member accounts. Membership and invoice information is accessed through the club’s separate Swim Manager service.
Why we use information
The club may use personal information to:
- respond to enquiries, run assessments and administer membership;
- organise safe training, competitions, teams, travel and club events;
- manage fees, invoices, insurance and affiliation;
- communicate important club, welfare and timetable information;
- meet safeguarding, health and safety, legal and governing-body requirements;
- celebrate achievement and maintain an appropriate historical sporting archive; and
- protect the club’s website, systems, members and volunteers.
Depending on the activity, the club relies on performance of the membership arrangement, legal obligations, legitimate interests in running the club, vital interests in an emergency, or consent. Explicit consent will be sought where required for special-category information, such as health information, and for uses such as photographs where consent is the appropriate basis.
Who information may be shared with
Access is limited to people who need the information for a legitimate club role. Where relevant, information may be shared with Swim England, competition and league organisers, pool operators, insurers, payment or administration providers, Swim Manager, and public authorities or safeguarding bodies where required. The club does not sell personal information.
The website is hosted by Krystal. Teamup, Facebook and Instagram are separate services with their own privacy information. Read theTeamup privacy policyand theMeta privacy policy. These providers may process information outside the UK as explained in their notices. The live Teamup and Facebook content is not loaded until a visitor chooses to allow it.
How long information is kept
Information is kept only while it is needed for the purpose collected and for any legal, insurance, tax, safeguarding or governing-body requirement. Enquiry and waiting-list information is reviewed when it is no longer active. Membership and financial records are retained in line with the club’s administrative and legal obligations. Safeguarding records are handled in accordance with current safeguarding requirements. Official results and suitable historical club records may be retained as a long-term sporting archive.
Children and safeguarding
Much of the club’s work involves children. Information about young people is restricted to appropriate club roles and handled with particular care. Parents and guardians should keep emergency, medical and contact information current. Safeguarding concerns should be sent to the Club Welfare Officer atwelfare@paigntonswimmingclub.org.uk.
Your data-protection rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to its use, receive certain information in a portable format, or withdraw consent. Contact the Club Secretary to make a request. The club may need to confirm your identity before responding.
